Show-N-Sell Popcorn Information

SHOW N SELL DATES:                     

September: 28th; Friday:  Dillions 5pm to 8  –  2 doors available  AND  Lowes; derby 5p to 8pm                               29th; Saturday South door: Dillions 9a to 7p   AND  Lowes; derby 9a to 7p                                                                      30th; Sunday  Dillions – South door 12 to 6pm   AND Lowes 12 to 6                                                                                   HUMC:  9 to 11 is filled up.

October: 5th; Friday: Dillions 5pm to 8 – 2 doors available                                                                                                     6th; Saturday: South door- Dillions 9a to 7p    AND  Wal-Mart both doors outside; Derby 10a to 6p                                   7th; Sunday: 30th; South Door- Dillions 12 to 6pm   AND   Wal-Mart both doors; outside: 12p to 6p                              HUMC: 9 to 11 is filled up.

October: 19-21st Haysville Fall Fest; Up front entrance, by playground area.                                                                    19th, Friday;  SET-UP and sales: 5 to 8pm                                                                                                                                20th; Saturday; 8am to 6pm                                                                                                                                                          Sunday; 21st 10a to 3pm

CALCULATIONS OF %:  Scout works 1/2 hr  they get .5 credit hours.   For each hour they work during a show n sell, they get 1 credit.   It adds up fast throughout all the show n sells; if they sign up!

SHOW N SELL SIGN UP COMMITMENTS: If you sign up for a time slot, please make it a commitment. It’s difficult for the scout and family to have to sit another hour or find scout to fill in. IF you cannot make it, give, Doris @316-730-1067 a call 1 hour prior to shift to fill next hour. Please provide a contact number on sign up, if I need to call you. Other leaders and parents will be holding the spot for a shift in case of needing something or cancelling, that name will be listed in your Wednesday email.

ARRIVAL & CLEAN UP: Please arrive 5 min early for shift. IF you signed up for first shift for day – PLEASE arrive 20 min early to set up. Put 4-5 bags on table of each popcorn. Make sure pricing is visual to customer and is correct. All other boxes under table and away from customers way.
SCOUTS need to help with set up and clean up!
CLEAN UP: Putting popcorn in correct boxes they came in. putting money box, donation jar & clipboards in container. Folding table and chairs, popcorn and containers for pick up to bring back to Doris home. DO not give away boxes, we need them.

PARENTS RESPONSIBILITY AT SHOW N SELL: Highlight your name & scouts on sheet when you arrive. All paperwork provided on clipboard. 2 parents at all times (except scout church). leaders in uniforms, parents wear pack t-shirt if you have one.

**1 parent: Handles monies & credit cards & donation jar. *Make sure credit card SQUARE sign is up front so they know C/C are accepted. * Put donation Jar on top in customer view. Take lid off. *Please have the square on your phone to accept C/C/debit cards. IF C/C is expired or you are NOT comfortable because name on card MIGHT not match (male name, women name on card, etc..) Please ask to see ID for their protection. Make sure they sign.. and get a returned email or text as a receipt. This all will show on the square. * get change inside store for smaller change inside money box as the 20’s will add up quickly!

**2nd parent- Ensure scouts are standing at entrances, table is full & Tallies – Coming and going; greeting, “Would you like to support my scouting.” Smiling and telling customers why they are selling, if asked, “to pay for camps”  and various council and pack activities. (know the camps), standing up, shirts tucked in, NO ball caps inside, not leaning on table. (shouldn’t be standing close to table anyway). * Encourage to speak up and smile. ALWAYS say THANK YOU, HAVE A NICE DAY even when ignored or says NO. ** TALLIES on form as popcorn is sold, please keep track. Keep table popcorn full. **CLOSE TO OUTS ON POPCORN AT SHOW N SELL – PLEASE call leader in charge to get more.

***TALLIES: This will be an hour by hour tally sheet. 1. At the beginning of your shift, you will count all the popcorn on hands and place counts in the first column (labeled: beginning inventory by each. NOT cases.. example: 12 bags to a case, you have 2 cases left.. PLEASE PUT 24) Please tally in each appropriate row of popcorn sold.          2. ***At end of your shift, please mark in the ENDING INVENTORY.. how many you have left in your inventory and ON table) *** TAKE ALL MONIES OUT EXCEPT FOR 60$ in small change bills and leave this in here for next shift. *** ADD up all monies remaining you pulled from cash box (not donations) and add up and put final $amount in the column TOTAL FOR DAY$$ If you had credit card purchases, what was your total and put in CREDIT CARD TOTAL $ box. Please put donation total if you know how much was included. WHEN all monies have been counted and inventory counted, put monies inside the tally form and fold. Please put in the small manila envelope and close it. It then goes inside the larger manila envelope inside container to be picked up soon. Thank you for making this process easy.

END OF DAY:  Scout/families at end of last shift;  Please put popcorn back into boxes they belong in.  All clipboards, donation jar, money box and neckerchiefs and holders, and any other small items to go back into the clear container.   Please be careful with the fun popcorn boxes and signs.   Please fold up table and chairs to be ready for the leader in charge to arrive to pick up.

DONATIONS: * Put donation Jar on top in customer view. Take lid off. Keep in jars. Place in view for customer. When fill up, please put dollar bills in envelope inside bottom of money box. Mark on donation sheet on clipboard, amount, etc. Keep all change in jar. Please have scouts put money in Jar.  Scouts do not keep donation money but stays in pack!   IT’S ok for a scout to say WE TAKE DONATIONS TOO, if they don’t want popcorn.

KEEP THE TABLE AND CLIPBOARD CLEAN AND FREE OF SPILLS AND FOOD!

*** NO SCOUTS HANDLING MONIES or TALLIES or writing on credit card form.  Not at any time behind table. SCOUTS can have water. *Please NO EATING while on hour shift. *If a customer or parent purchases popcorn, DO NOT open and eat there. *If siblings are there please give them something to do and not hanging out with scouts or handling monies or tallies.
**If any customer has questions or concerns and you aren’t sure, give my name, number. If their son to join scouts, write their name, number on paper on clipboard paper provided and give them my name/number too. (thank you)

Credit Card Forms – Make sure to write on the C/C form with transaction information of who (parent) took transaction, last 4 of cc#, amount of sale and approx. time of transaction.   This is needed to verify if need cause.

SCOUT/PARENT EXTRA AVAILABILITY for show n sell: Are you available to cover an hour due to a scout who is unable to? If so, please email me and I will add you for a day or time you want. You might have less than an hour, sometimes less than that. (keep scout shirt and proper shorts with you during a day you can fill in)

MILITARY DONATION RECEIPT: included in clear container. Please fill out if they request one IF only donating for the military.. Note on tally sheet!

RECEIPTS TO CUSTOMERS: PLEASE give receipts (provided in packet) with your scout name and information, if they ask for it OR if ordering products you don’t have on hand and/or paying cash.

SQUARE: Please have the “Square App”. on your phone for credit card/debit card usages for show n sell time slots. I will have a sign in email/password for you when you arrive for shift. NO ONE can see your info on your phone. MORE sales we get using the Square, the more you will receive in your scout account at the end of popcorn season. Any questions, please ask.

UNIFORMS AT ANY SALE THEY PARTICIPATE IN: blue or tan shirt for scouts. Neckerchief will be the popcorn ones available  & clean uniform, NO ball caps, sweats, sport uniforms, basketball shorts, nor flip flops.   We have a few pack shirts in a few sizes for new scouts who don’t have a uniform yet.  Please let Doris know ahead of time.  (316-730-1067)   **Shanda has made awesome popcorn neckerchiefs that are to be worn ONLY DURING the show n sell.  These will stay with the pack.

Large wearable/stand alone POPCORN BOXES  to be displayed –  Had these made for the pack and are to be treated with respect.  These can be worn by the Lion if he has a shift –  IF no Lion is available for shift may be worn by sibling OR a scout in waiting if he chooses.  They can stand alone as well.    These are used to catch the attention of potential buyers. Please share with scout to promote popcorn and ask to buy to support their scouting adventures.  Please be careful.

Tally of Sales at end of weekend.   Each weekend, each store for weekend will be added together and scouts who worked it will be recorded with number of hours they worked.   At the END of the POPCORN SELLING time.  ALL weekends will be added together and then all scouts who worked with their recorded hours will be calculated.  I have a popcorn calculator.  Remember, scouts get 25% of sales that will ALL add up and be recorded.   I will have these figures calculated by and determined what your scout will receive by @ 1st November.                                                Make sure to Ask Alicia, Treasurer what your total is either by email at Alicia_nurse@hotmail.com  or by text at 785-236-9562.
